Job Description
We are seeking a highly skilled and professional Executive Secretary to provide comprehensive administrative support to Chief Executive Officer (CEO). The successful candidate will be responsible for managing the CEO’s schedule, coordinating meetings and appointments, handling correspondence, and ensuring efficient communication between the CEO and various stakeholders. The Executive Secretary will play a crucial role in maintaining confidentiality, managing sensitive information, and facilitating smooth operations within the CEO’s office.

RESPONSIBILITIES::

Manage the CEO’s calendar and schedule appointments, meetings, and travel arrangements efficiently.
Coordinate and prioritize incoming requests and correspondence, ensuring timely and appropriate responses.
Screen and direct phone calls, inquiries, and requests to the CEO, providing necessary information and handling routine matters independently.
Prepare and organize documents, reports, presentations, and other materials for meetings and presentations.
Attend meetings, take accurate minutes, and prepare comprehensive summaries and action points for follow-up.
Conduct research, gather data, and compile information to support the CEO in decision-making processes.
Maintain confidentiality and handle sensitive information with utmost discretion.
Act as a liaison between the CEO and internal/external stakeholders, fostering effective communication and relationship-building.
Proactively identify opportunities to optimize the CEO’s time, streamline processes, and enhance efficiency within the office.
Assist in organizing company events, conferences, and special projects as assigned.
Handle any other administrative duties as required to ensure the smooth functioning of the CEO’s office.
Requirements:

Proven experience as an Executive Secretary or similar role supporting top-level executives.
Excellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines in a fast-paced environment.
Strong verbal and written communication skills, including exceptional attention to detail.
Proficient in using office software and tools, including MS Office (Word, Excel, PowerPoint, Outlook).
Ability to maintain confidentiality and handle sensitive information with discretion and professionalism.
Exceptional interpersonal skills with the ability to interact effectively with individuals at all levels, both internally and externally.
Strong problem-solving and decision-making abilities, with a proactive and resourceful mindset.
High level of integrity, professionalism, and reliability.
Flexibility to work outside of regular business hours as needed.
Job Type: Full-time

Salary: AED2,000.00 – AED3,000.00 per month

Ability to commute/relocate:

Dubai: Reliably commute or planning to relocate before starting work (Required)
